New File Sharing Controls for Windchill Users

As part of our ongoing commitment to data security, we're excited to bring Windchill users additional data sharing controls. This feature empowers Company Admins with the ability to precisely control the upload of data from Windchill to CoLab, ensuring only the right files make it through based on specific attribute/value pairings.

How It Works

Admins can now set up exclusivity and restriction rules for file uploads under the Access Management tab in the Admin Panel. Here’s a quick overview:

• Exclusivity Rules: Only files matching certain attribute/value pairings can be uploaded. If a file doesn't fit the criteria, it's blocked.
• Restriction Rules: Files with certain attribute/value pairings are prevented from uploading.

In the example below, files must have a confidentiality level of low or medium to be uploaded to non-restricted workspaces, and files with a lifecycle state of obsolete can not be uploaded to restricted workspaces.

Upload Checks

Every file's attributes are checked twice during upload:

1. Exclusivity Check: Files must match the exclusivity list or have no restrictions to pass.
2. Restriction Check: Files must not match any of the restriction rules to proceed.

This two-step verification ensures only compliant files are uploaded, maintaining the integrity and security of your data.

Managing Restricted Workspaces

Files that meet exclusivity rules but are uploaded to restricted workspaces will be marked accordingly. Admins can un-restrict a workspace by ensuring it contains no restricted files, simplifying workspace management without the need to start from scratch.‍‍
