Colabsoftware.com is a website owned and operated by CoLab Software Inc. (“CoLab,” “we” or “us”). Your privacy is very important to us, and, in order to best protect your information, we have adopted this privacy notice (“Privacy Notice”). 

This Privacy Notice applies to information that is submitted to, or we collect from, www.colabsoftware.com (the “Website”). It does not apply to information submitted to our Services. Use of the CoLab Services is governed by its Terms of Service located here.

This Privacy Notice also applies to information submitted by job applicants who apply for a position through our Website.   Please see the section “Job Applications” below for more information.

If you click on any links on the Website that lead to websites or services owned or operated by third parties (such as our Twitter, Instagram or Facebook pages) this Privacy Notice no longer applies. What Information We Collect and How We Collect It

When you submit a request to demo the CoLab Services, or make any inquiries through our Website or via email, we need to collect some personally identifiable information (PII) in order to respond to your inquiry. We collect the following PII with your consent:  first and last name, email address, phone number and any other information that you voluntarily provide to us that is linked to your identity. 

We also collect information through the use of cookies, pixels or other similar technologies, if you have agreed to let us do so. CoLab may set and access cookies on your computer or mobile device to track and store preferential information about you, for purposes such as recognizing you when you return to the Website, or collecting analytics data for our internal use, etc.  We also collect the IP address of the device used to access our website.

If you access our Website through the use of a mobile device, we may also collect and store  unique device identifiers, such as mobile IDs. A unique device identifier may send us information about how you access, browse and use the Website.  This information is aggregated and compiled to enable statistical analysis that would be used internally to make improvements to our Website. 

We may collect non-personally identifying information that relates to your Website usage or is necessary for the proper functioning of the Website, such as the time and date and the extent of your usage of the Website, which pages of the Website you visit and for how long, the mobile platform or service provider you use, your browser, your operating system, and IP address (“Other Information”). We aggregate and compile this data to enable statistical analysis that would be used internally to make improvements to our Website.

Information collected by us may be stored and processed in Canada and/or the United States. As of the date above, the Website is hosted in facilities located in Canada. If you do not live in either of these two countries, then, by using the Website, you consent to any such transfer of information outside of your country, where data protection laws may be different. This Privacy Notice applies to your information for as long as your information is in our possession.

Our Use of Information

We use the information we collect for a number of purposes. For example, we will use it to, among other things, respond to your inquiries, maintain the security and integrity of our Website, and for the improvement of the content of our Website. If you have agreed to receive marketing materials and other notifications, we will use your information to communicate with you about our Services and any events.

You agree that CoLab may use information collected about you to analyze Website usage, improve the Website, respond to your requests, questions and comments, and as otherwise set forth in this Privacy Notice, or as CoLab believes necessary to protect its rights and the rights of others, including by enforcing the Website Terms of Use. 

CoLab maintains a strict “no-spam” policy. You may sign up to receive our newsletter and notices via email. If you agree to receive such information, CoLab may use your information to contact you about services or convey information that we think may interest you (such as administrative notices, or newsletters).  We will: (i) identify the message as an advertisement in a reasonable way; (ii) honor opt-out/unsubscribe requests quickly; and (iii) allow users to unsubscribe by using the link at the bottom of each email.

Disclosure/Sharing of Information

We share your PII with the following third parties, in order to provide you with services connected to this Website or respond to your inquiries.  CoLab has entered into binding legal agreements with each of these third parties which contain provisions protecting your PII, compliant with this Privacy Policy.  We do not sell your PII.

How We Protect Your Information

CoLab takes a range of security measures designed to protect your information and keep it confidential and free from any modification or alteration unless authorized by you. PII is contained behind secured networks and is only accessible by a limited number of persons who are required to keep the information confidential. In addition, all PII you supply is encrypted.

However, the Internet by its nature is not a secure environment and the nature of security risks is constantly evolving. While we strive to keep current our security technology and will review, refine and upgrade our security technology, the complete security of any information collected, stored or used by us cannot therefore be guaranteed. CoLab will not be responsible for any damages directly or indirectly caused by an unauthorized third party’s ability to view, use or disseminate such information. You also acknowledge that CoLab shall not be responsible or liable for any dissemination of your information that results from your disclosure of such information to any third party.

Retaining Your Information

We will retain any information submitted to, or collected via, the Website for a commercially reasonable period of time necessary for the purposes outlined in this Privacy Notice.

Managing Your Information

You may delete, opt out or control the placement of cookies by utilizing plug-ins and your individual browser settings. Browser manufacturers provide help pages relating to cookie management in their products. For convenience, we have provided a list of links to the most popular browser help pages below.

The Website will honor Do Not Track requests sent by your browser. Again, each browser is different, so please check with your provider to find out how to send a Do Not Track request.

You may unsubscribe from marketing materials and/or notices at any time by following the instructions contained at the very end of every such email or elsewhere as directed by CoLab. If you are having problems unsubscribing, please contact us at privacy@colabsoftware.com (including in the subject line the word “Unsubscribe”), and we will use reasonable efforts to remove you within seven (7) business days. Please note that CoLab will not process any unsubscribe requests submitted as direct replies to any newsletter or event announcement.

Modification/Deletion/Access to Your Information

We will provide you with a copy of the PII you provide us for as long as we maintain that information in a readily accessible format. We will also work with you to correct any error in your PII or delete your PII. If you wish to see or correct any PII that you have submitted through our Website, or want us to delete your PII, please send an e-mail with your specific request to privacy@colabsoftware.com.

Job Applications

This Privacy Policy applies to information submitted by job applicants via the “Apply Now” button on the “Careers” webpage.  Please note that it does not apply to job applications submitted via email addresses located on this Website.  

Information submitted by job applicants using the “Apply Now” button is submitted to Humi, www.humi.ca.  For information on Humi’s security practices, please click here.  

Links to Third Parties

The Website includes links to third party websites, such as CoLab’s own Facebook page, Twitter account and Instagram account. Third parties have different privacy policies, and CoLab is not responsible for the privacy practices of such third parties. If you click on a link which takes you to these third party websites, CoLab encourages you to check the applicable privacy policy, as it may differ substantially from that of this Privacy Notice. CoLab makes no representations or warranties nor is CoLab responsible for the privacy policies of any third party. If you decide to access any third party links appearing on the Website, you do so at your own risk.
